Job Description
YOUR BRIEF:
To co-ordinate all event details, post contract stage through production of accurate function sheets, ensuring the operations team have all relevant information to ensure the event is successful and revenue is captured.
AS AN EVENT CO-ORDINATOR YOU WILL BE RESPONSIBLE FOR:
~ Co-ordinating all event details post the contract stage.
~Conducting final detail meetings in accordance to QH brand standards.
~Actively researching and take positive action for sales leads from existing and new clients.
~Handling incoming event and accommodation group (9+ rooms) enquiries in accordance to QH brand standards, in the absence of an Event Sales Executive
~Conducting post event follow-up calls to gather customer feedback and to identify further booking opportunities in accordance to QH brand standards, setting an activity for an Event Sales Executive.
~Producing the BEO’s to reflect 100% accuracy of the client’s requirements, ensuring they are circulated at least one prior to the event.
TO BE A ONE OF A KIND EVENT CO-ORDINATOR:
~ Actively promote the hotel at every opportunity, including promotional events and showrounds to prospective customers
~Use initiative to ‘go the extra mile’ for potential clients to make their event individual and unique
~ Come up with innovative ways of selling the hotel – advising the Event Dept Manager at all times
~Provide a warm welcome to clients when you meet them – use their name
~Say hello to any guests or colleagues you meet as you walk around the hotel - SMILE
YOUR TALENTS:
~ You can prove that you’re great with final details, by perhaps a similar job in the past
~You’re good with numbers and also written and spoken English
~Ideally you will know your way around Event Management IT Systems
~You’ll be confidently able to talk to anyone and everyone
~You will be flexible and adaptable
