Job Description

YOUR BRIEF:

To manage all correspondence relating to transient reservations & handle all group enquiries. Maintain inventory controls in Protel, ADS and Delphi as set by Regional Reservations Manager. Produce the Rooms Forecast on a weekly basis.

AS A RESERVATIONS CO-ORDINATOR YOU WILL BE RESPONSIBLE FOR:

* Completing the daily Reservations checklist each day to ensure that the Reservation process on property is being met.

* To liase with CBS in order to assist in the maximization of revenue.

* Manage the waitlist by converting reservations when availability becomes available & advising all waitlist customers on the progress.

* To ensure that there is a close liaison with the Event Sales Department in regards to all group enquiries.

* Enter all group enquiries for conference & banqueting & all other group bookings into Protel & Delphi & then manage contracting process for non conference & banqueting groups and set traces in Protel/Delphi to follow up on these bookings.

* Update the selling strategy control sheet on a daily basis including business on the books, tentatives & price turndowns.

* Enter the inventory controls into Protel, ADS sites & Delphi as set by the Regional Reservations Manager & Regional Revenue Manager.

* Review business on the books daily & communicate any major changes in availability to the Regional Reservations Manager.

* Carry out the forecasting preparation on a weekly basis – prepare the pick up Sheets and forecasted pick up & support GM with preparation of commentary.

* Balance Protel & Delphi Beds on a weekly basis with the Events Co-ordinator this has to be done prior to forecast preparation.

*Ensure hotel revenue procedure is adhered to for No Shows, cancellations, contracting, room allocation & upgrades to ensure revenue maximisation.

* Demonstrate a clear understanding of management of Rooms Revenue & understand the impact of Events business on the hotel & rooms strategy

* Able to identify customer service problems or issues before they arise

* Display a positive, friendly, professional manner with customers

* Provide a warm welcome to clients when you meet them – use their name

* Say hello to any guests or colleagues you meet as you walk around the hotel - SMILE

YOUR TALENTS:

* You can prove that you’re great with managing reservations, by perhaps a similar job in the past

*You’re good with numbers and also written and spoken English

*Ideally you will know your way around Property Management IT Systems

*You’ll be confidently able to talk to anyone and everyone

*You will be flexible and adaptable
